How to request documentation

    Tell us which app you use or plan to use, and provide the relevant Shopify store domain.

  2. Contact our legal team

    Email legal@visualsoft.co.uk. For a data protection enquiry, you can also contact dpo@visualsoft.co.uk.

  3. Provide your company details

    Include your legal company name, company or registration number and registered address.

  4. Name the people involved

    Give us the names and email addresses of the people who should receive and review the draft.

  5. Tell us where you operate

    Explain which countries or legal requirements your team needs us to consider.

  6. Share any review requirements

    Include relevant procurement, security or compliance questions, along with any supplier forms your team needs completed.

  7. We check the app

    We review the app's processing, hosting, subprocessors, retention, deletion and security arrangements.

  8. We prepare the appropriate documentation

    We provide a draft that reflects the app and the information your team has requested.

  9. Your team reviews and signs

    You complete your corporate and signatory details, review the draft and return it so the signing process can be completed.

A Data Processing Agreement, usually shortened to DPA, records how personal data will be handled when one organisation processes it for another. Whether one is needed depends on the parties' roles and the processing involved.

Is a DPA the same as a privacy policy?

No. A privacy policy or notice explains how an organisation uses personal data. A DPA sets out contractual responsibilities between a controller and a processor.

What information do you need from us?

Start with the app, store domain, legal company details, reviewer contacts and the countries or requirements your team needs considered. Include any specific procurement, privacy or security questions.

Which countries and data protection laws can be covered?

We document the subprocessors and processing locations relevant to the app and the request. Ask us for the current position for the app you are reviewing.

Can our legal team propose amendments?

Your legal team can send proposed amendments for consideration. We will review them against the app, the processing and the commercial arrangement. We cannot promise that every proposed change will be accepted.

Who signs the agreement?

The appropriate legal entities and authorised signatories depend on the arrangement. We will confirm the relevant VS Labs or Visualsoft entity as part of the review.

Is this legal advice?

No. VS Labs provides information about its apps and the way they operate. Retailers should take their own legal advice on their obligations and whether the documentation meets their requirements.
